We prepare your school’s reports from what your school and its providers send us, and we ask for as little as the work needs. This page covers your school’s information in our work. Our privacy notice covers this website and its contact form. Last updated October 12, 2026.

What We Work From

We work from each trip’s itinerary and bookings, your provider’s documents, and your own trip policy, forms and escalation steps, all of which your school already has. You send them to us by email, and we file them. When we need something, we ask by email too, and nothing in the school portal asks you to upload a document.

What We Do Not Ask For

Our reports do not need students’ personal data, so we do not ask for it. The only people our reports name are the staff your school chooses for each trip and its duty chain, and your provider’s own contacts.

Where It Is Kept

Your documents reach our own mailbox by email. The ETI360 school portal, where your school sees its own trips and reports, keeps its files with Amazon Web Services and its database on Supabase, both in Amazon’s US East region.

The School Portal

Each school sees its own part of the system in its ETI360 school portal. We provide the portal, and we do not read what your school writes into it, such as its own risk assessments. Trip leaders do not need a portal login, because your school sends them their documents.

The Incident Report System

The Incident Report System is built to run in your school’s own Google Workspace or Microsoft 365, and it is installed there at handover. Before each trip, the system receives an export of that trip from our database, so we never need access to your school’s account to add a trip. The records your staff write stay in your school’s account, and we keep no copy of them.

The system’s AI drafts each summary and suggests the incident type, and your duty manager confirms or changes every suggestion. The AI step is built to run in your school’s own account, on your school’s own key and billing, and we never train AI on a school’s reports.

Providers and Other Schools

We take no payment from trip providers. We never pass one school’s information to another school, or one provider’s information to another provider.
