Illustrative case study; the providers and decisions are fictional.

Harborview International School runs trips on six program paths, from international multi-day trips to elementary day trips and athletics travel. This case study follows one school year in which ETI360 works with Harborview as a partner across that program. The year begins with the Travel Program Review and the Travel Year Guide, and each trip, day-trip year and conference season builds on them.

The year at a glance

  1. Step 1 , Tier 1 Organizational Readiness

    Travel Program Review

The review of its whole program, with an evaluation of each provider’s documents

  2. Step 2 , Tier 2 Trip Readiness , Tier 3 Live Trip Support and Review

    Individual Trip Reports

The documents for one trip, before, during and after it

Sample from Horizon Ridge School of Cleveland

  3. Step 3 , Tier 2 Trip Readiness

    Field Trip Reports

The year’s day trips: one page per trip and a calendar for each month

  4. Step 4 , Tier 2 Trip Readiness

    Conference Travel Reports

One guide for the conference year, with a chapter for every host city

    Sample from Wexcombe International School

Start at step 1: Travel Program Review →

At the end of the year, Harborview keeps every document, the Travel Year Guide and the provider evaluations. The next year starts from that record rather than from the beginning, and the Review comes around again in its fourth year.

How the work divides

Harborview sends

What it already has, by email: policies, calendars, venue lists, provider documents and booking confirmations. It fills in no forms and uploads nothing to a system.

ETI360 does

  • Reads each document supplied in full and enters each trip, stop and statement it contains.
  • Researches and measures, within the agreed scope, what the documents leave out, such as emergency departments, drive times, entry rules and climate, from cited public sources.
  • Writes each document, in A4 and US Letter.

Harborview receives, and decides

Prepared documents, in its own paper size. The school reviews them; for trip risk documents, it completes, amends and approves them.

The documents are fully developed samples created by ETI360. The providers and decisions in this example are fictional. Each sample was produced on its own date, so the dates printed on the samples do not set the order of this story.

ETI360’s 3-Tier Risk Framework
  • Tier 1 Organizational Readiness: The school-wide review of travel policies and procedures, prepared for leadership review.
  • Tier 2 Trip Readiness: Each trip’s documents, prepared for review before departure.
  • Tier 3 Live Trip Support and Review: Field and emergency information for trip leaders while the group is away, and the report after the trip.
