- What do you need from us?
- We work from each trip’s itinerary and bookings, your provider’s documents, and your own trip policy, forms and escalation steps, all of which your school already has. You send them by email, and we file them. Every school is different, so we build the reports in the formats your school needs.
- Do you need students’ personal information?
- No. Our reports work from the trip, the places and your procedures, so we do not ask for students’ personal data. The only people our reports name are the staff your school chooses for each trip and its duty chain, and your provider’s own contacts.
- Can we choose some reports, or some trips?
- Yes. Every school chooses the reports it needs, trip by trip, and pays for what it chooses. Each school’s own Program Map in its school portal shows what it holds.
- How do you price the work?
- We price the work once we know your trips. We invoice in US dollars, and we take no payment from trip providers.
- Do we pay for each provider review?
- No. The Travel Program Review covers the documents of every provider your school uses, inside its fee, and it runs once every four years.
- Who approves the risk assessment?
- Your school does. We prepare the groundwork for each activity group. Your school and the provider review, complete and approve it, and the trip leader makes the live assessment during the trip.
- Do you meet or train our trip leaders?
- No. We prepare the Trip Leaders Brief for each trip, with one page for each day, and your school sends it to its trip leaders.
- Who do we call while a group is away?
- Your own duty holder, and your own risk and security advisers in an emergency. We take no calls while groups are away, and we make no decisions during a trip. The Duty Manager Trip Brief puts each group’s places, your duty chain and the nearest emergency departments in one place, so your duty holder has them on the night.
- Is there an AI step in the Incident Report System?
- Yes. The system’s AI drafts each summary and suggests the incident type, and your duty manager confirms or changes every suggestion. The AI step is built to run in your school’s own account, on your school’s own key and billing, and we never train AI on a school’s reports.
- How does a trip get into the Incident Report System?
- Before each trip, the system receives an export of that trip from our database. We never need access to your school’s account to add a trip.
- Where is our information kept, and who can see it?
- Our data protection page sets out what we work from, where it is kept and who can see it.
- Can we see work you have done?
- Our case study follows a school’s year with us, and every document in it opens in full, so you can read exactly what your staff would receive.
- How do we start?
- Write to Dan. A first conversation covers your school’s program and the trips it runs. Contact
