What Harborview needs

For a cycling trip in Taiwan from the Line & Landmark catalog, the Head of School needs the trip’s documents before approving it; the trip leader, chaperones, families and students each need theirs before the group leaves.

ETI360 prepares each trip’s reports in the same format, so a leader who moves from one trip to the next finds the same documents.

Harborview International School · Japan Entry and Visa Report, Kyoto

Visas. For Harborview’s Kyoto trip, ETI360 sorted the group by passport, set out which students and teachers need a visa for Japan, and wrote an email for each nationality with the school letters each application needs. The families apply, and the Embassy of Japan decides.

How it works

  1. 1. What Harborview sends, by email

    • The provider’s proposal and day-by-day itinerary
    • Booking confirmations for flights and places to stay
    • The group: numbers, grades and staff
  2. 2. What ETI360 does

    • Turns the itinerary supplied into a day-by-day record and places each location it names on the map.
    • Lists the emergency departments by drive time from each place the group stays or rides.
    • Checks the entry rules for every passport in the group and prepares the visa emails and school letters.
    • Prepares the Trip Risk Working File, one section for each activity group, and writes each document for the person who uses it.
  3. 3. What Harborview decides

    • The Head of School approves the trip under the school’s trips policy.
    • The school reviews, completes, amends and approves its risk documentation; the trip leader makes the live assessment during the trip.
    • The school or the provider designates which emergency department the group uses.
